We collect the information needed to operate the ShipXLabel shipping-label platform (the “Platform”) and to generate labels, sync orders, and manage your wallet. This includes:
- Account information. Your name, email address, credentials, role, and account status, along with settings and preferences you configure.
- Shipping addresses. Sender and origin addresses used to create labels and arrange shipments.
- Recipient information. Recipient names, addresses, and contact details contained in your orders and shipments, which are required to generate labels.
- Warehouse information. Warehouse and location details you set up as ship- from origins and for routing.
- Wallet transactions. Records of wallet top-ups, deductions, purchases, refunds, and administrative adjustments, together with the associated balances.
- Notifications. Alerts and messages generated by the Platform and your related notification preferences.
- Integration settings. Configuration and credentials for connected services such as ShipStation and supported shipping providers, used to sync orders and purchase labels on your behalf.
We also collect limited technical information (such as log data and device or browser details) automatically when you use the Platform, to keep it secure and working correctly.
2. How Information Is Used
We use the information we collect to operate and improve the Platform, including to:
- Purchase and generate labels. Create shipping labels and complete shipments using the details in your orders, imports, and settings.
- Sync orders. Import and keep orders in sync with connected integrations such as ShipStation and supported providers.
- Provide customer support. Respond to your requests, troubleshoot issues, and administer your account and wallet.
- Prevent fraud. Detect, investigate, and prevent fraudulent, abusive, or unauthorized activity, and protect the security of the Platform and its users.
- Improve the Platform. Understand how the Platform is used, diagnose problems, and develop new and better features.
3. Third-Party Services
We share information with third parties only as needed to deliver the service you request. This may include:
- Shipping providers and carriers. We transmit shipment details (such as origin, recipient address, weight, and service level) to the carriers and providers that generate labels and carry your shipments.
- ShipStation. Where you connect ShipStation, we exchange order and shipment data with ShipStation to sync your orders and support label generation.
- Infrastructure providers. We use trusted hosting, database, and infrastructure vendors to store data and run the Platform.
We share information with these parties only to the extent required to provide the Platform. We do not sell your personal information. Third-party services are governed by their own privacy practices, and we encourage you to review them.
5. Data Retention
We retain information for as long as needed to provide the Platform, meet legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. Retention periods vary by data type, for example:
- Labels. Generated labels and their shipment details are retained as part of your shipping history.
- Orders. Imported and synced orders are retained to support fulfillment, reconciliation, and support.
- Wallet history. Wallet transactions and balance history are retained for financial recordkeeping and reconciliation.
- Audit logs. Security and activity audit logs are retained to help protect the Platform and investigate issues.
When information is no longer required for these purposes, we take reasonable steps to delete or anonymize it.
6. Security
We use administrative, technical, and organizational measures designed to protect your information, including:
- Encrypted credentials. Sensitive credentials, such as integration secrets, are stored using encryption.
- Authenticated access. Access to the Platform requires authentication, and actions are tied to your account.
- Access controls. Role-based permissions and internal controls limit who can access data and administrative functions.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. We work to protect your information and to respond appropriately if a security issue arises, but you also play an important role by keeping your credentials confidential.
